Disabled passengers are entitled to request assistance, and UK guidance says disabled travellers can carry up to two items of mobility equipment free of charge. However, a clear letter can help explain why a larger pushchair is a mobility aid rather than standard baby equipment.

This guide explains what to ask a GP, consultant, occupational therapist or other suitable healthcare professional to include on a letter for a disability pushchair to make travelling easier.

Do You Need a Doctor’s Letter for a Disability Pushchair?

There isn’t one rule used by every airline or airport. Some families travel without being asked for medical evidence. Others find that a letter helps when the child is older than the usual pushchair age, the equipment is unusually large or heavy, or staff initially treat it as ordinary baggage.

A letter may also be useful when you request gate delivery, need the pushchair until the aircraft door, or want staff to understand that a standard airport wheelchair isn’t a suitable replacement.

Check the operating airline’s current policy before travel. The airline may ask for equipment dimensions, weight, battery details or a medical clearance form instead of, or in addition to, a supporting letter. It can be helpful to store important information in a factsheet about the pushchair which you can refer to easily any time you travel.

Who Should Write the Letter For a Disability Pushchair?

The letter for a disability pushchair should come from a healthcare professional who understands the traveller’s needs and can explain the functional purpose of the pushchair. This might be:

• A GP.
• A paediatrician or hospital consultant.
• An occupational therapist.
• A physiotherapist.
• A specialist nurse or other regulated clinician familiar with the child’s care.

An airline may have its own rules about who can complete a medical form if they ask for one to be completed. Check those requirements before paying for a private letter.

What a Doctor’s Letter For a Disability Pushchair Should Include

The most useful letters are short, specific and focused on what the traveller needs during the journey. They don’t need to include a full medical history.

The Traveller’s Details

Ask the clinician to include the traveller’s full name and date of birth. These should match the passport and booking.

Confirmation of Disability or Medical Need

The letter should confirm that the traveller has a disability, long-term condition or functional impairment. A detailed diagnosis may be helpful in some situations, but it isn’t always necessary.

Functional wording is often more useful than a diagnosis alone. For example, the letter might explain that the child can’t walk safely over airport distances, has limited stamina, is at risk of falls, needs postural support or requires a secure familiar seat to prevent distress and unsafe movement.

A Clear Statement That the Pushchair Is a Mobility Aid

This is one of the most important points. Ask the clinician to state clearly that the disability pushchair is prescribed, recommended or required as mobility equipment.

The letter should avoid describing it only as a pushchair or convenience item. Suitable wording could say that it is an essential disability-related mobility aid used in place of, or for the same purpose as, a wheelchair.

Why an Ordinary Pushchair or Airport Wheelchair Isn’t Suitable

Where relevant, the letter should explain why a standard alternative wouldn’t meet the traveller’s needs. This may be because the disability pushchair provides:

• Specialist postural or head support.
• A harness or positioning system.
• Protection from falls or unsafe movement.
• Support for fatigue, pain or muscle weakness.
• A familiar, regulated space during sensory overload.
• Safe positioning during long waits.
• A suitable size for an older or larger child.

The explanation should be accurate for the individual traveller. It shouldn’t make claims that the clinician can’t support.

How Long the Traveller Needs the Pushchair

If the child needs the pushchair through check-in, security and the departure gate, ask for this to be stated. The letter can also explain whether the traveller needs it returned at the aircraft door or immediately after landing rather than at the baggage carousel.

Gate delivery can depend on airport procedures, aircraft type and operational safety. A letter supports the request but doesn’t guarantee that the equipment can be brought to the aircraft door at every airport.

Any Important Handling Instructions

The letter may briefly mention that the equipment must be handled carefully because it is essential mobility equipment. Detailed folding, lifting and storage instructions are usually better placed on a separate handling sheet attached to the pushchair.

If the pushchair has a battery or powered component, contact the airline in advance. Airlines commonly require the battery type, watt-hour rating, method of isolation and other technical information for safe carriage.

Suggested Wording for a Letter For a Disability Pushchair

The healthcare professional should use their own clinical judgement, but the following example shows the type of information that can be useful:

To whom it may concern,

[Full name], date of birth [date], has a disability or long-term condition that affects [their] ability to walk safely and manage the physical and sensory demands of an airport.

[Name] requires the use of a [make and model, if known] disability pushchair. This equipment is an essential mobility aid and is used for [brief functional reasons, such as limited walking tolerance, postural support, safety or regulation]. It isn’t an ordinary pushchair or convenience item.

A standard airport wheelchair or ordinary buggy wouldn’t meet [name]’s needs because [brief explanation]. [Name] requires access to the disability pushchair throughout the airport and, where operationally possible, until boarding. It should be returned as close to the aircraft as local procedures allow.

Please treat this equipment as disability-related mobility equipment and handle it with appropriate care.

Signed and dated by [clinician’s name, role and contact details].

The letter should be personalised. Remove any wording that doesn’t apply and add specific information that will help staff understand the traveller’s actual needs.

What Not to Put in the Letter

A supporting letter doesn’t need to contain every diagnosis, medication or appointment. Avoid including unnecessary confidential information that doesn’t explain the mobility need.

• Don’t use vague wording such as “may benefit from a pushchair”.
• Don’t describe essential equipment as optional or only for convenience.
• Don’t ask the clinician to guarantee a specific airport procedure.
• Don’t include inaccurate claims about airline law or policy.
• Don’t rely on the letter as a replacement for booking special assistance.

Ask the Airline These Questions Before You Fly

Contact the operating airline, ideally when booking and at least 48 hours before departure where possible. Explain that the traveller uses a disability pushchair as mobility equipment and that you will bring along a letter for the disability pushchair.

It will also be beneficial to ask the following:

• Will the pushchair be recorded as mobility equipment?
• Can it be used through the airport and taken to the aircraft door?
• Where will it be returned after landing?
• Do you require a doctor’s letter or your own medical form?
• What dimensions and weight information do you need?
• Are there any restrictions for batteries or powered accessories?
• How should removable parts be packed or labelled?
• Has the assistance request been added to every flight sector?

Documents to Carry With a Letter For a Disability Pushchair

Carry the original doctors letter for a disability pushchair and keep a digital copy on your phone or cloud storage. I like to store my documents on a Google drive so I can access them from anywhere I have an internet connection.

It can also help to bring:

• The airline’s written confirmation of special assistance.
• A copy of the equipment prescription or occupational therapy report, if available.
• The manufacturer’s information showing the model, dimensions and weight.
• A simple handling guide with photographs.
• Battery documentation for powered equipment.
• Photographs showing the pushchair’s condition before check-in.
• Travel insurance details.
• Contact details for the equipment supplier or repairer.

Only share medical documents when they are needed. Keep personal information secure and avoid attaching sensitive paperwork to the outside of the pushchair.

At the Airport With a Disability Pushchair

Arrive with enough time to explain the equipment and confirm the handover arrangements. Show the medical professionals letter for a disability pushchair at check-in or at the special assistance desk if staff need evidence that the pushchair is a mobility aid.

Ask staff to label it correctly and confirm where it will be returned. Remove loose items such as trays, rain covers, bags and communication devices where practical. Attach a clear handling sheet with the traveller’s name and your contact number. The WCLX airline code describes the mobility equipment and battery arrangement. It does not, by itself, describe how much physical assistance a passenger needs at the airport or when boarding the aircraft.

Is the WCLX Code an SSR Airline Code?

You may hear the WCLX airline code described as an SSR, or Special Service Request, code because airlines use it within booking and service systems. IATA’s current mobility-aid guidance refers to WCLX as a special handling code.

For passengers, the important point is that the WCLX SSR code communicates information about the wheelchair and its lithium battery. The WCLX SSR code and the WCLB airline code both relate to lithium-powered wheelchairs and mobility aids, but the difference is whether the lithium battery is removed for transportation.

This distinction matters because a removed lithium battery has different handling and carriage requirements from a battery that remains securely installed in the mobility aid.

WCLX vs WCBD, WCBW and WCMP

Airlines use different codes to distinguish between wheelchair battery types and manual mobility aids. Some of these codes refer to the type of equipment a passenger is carrying, while others describe the type of help the passenger needs to travel safely.

Does WCLX Mean I Get Wheelchair Assistance at the Airport?

No. The WCLX airline code communicates information about your own mobility aid and its lithium battery. It does not tell airport staff whether you can walk long distances, climb aircraft stairs or independently reach your seat.

A separate assistance code such as WCHR, WCHS or WCHC may also be relevant depending on your mobility needs. Tell the airline what you can and cannot do rather than trying to choose an assistance code yourself.

Do You Need to Tell the Airline in Advance?

Yes. Contact the airline in advance when travelling with a battery-powered wheelchair or mobility aid. The carrier may need detailed technical information before it can confirm how the equipment and battery will be transported.

Do not wait until check-in if you can avoid it. Airline procedures and notification deadlines vary, so check the requirements for your carrier and route as early as possible.

You can also submit service requests via the PRM Assist app, but I would recommend you follow that up with a phone call or email to your airline to explain your needs in more detail.

What Information Might the Airline Ask For?

Have accurate information about both the mobility aid and battery available when you contact the airline. This may include:

• Wheelchair or mobility aid make and model.
• Length, width and height.
• Total weight.
• Battery type.
• Battery voltage and capacity.
• Watt-hour rating where relevant.
• Whether the battery is designed to be removable.
• Instructions for safely removing and reinstalling the battery.
• Instructions for switching off or isolating the mobility aid.
• Manufacturer documentation requested by the airline.

A simple wheelchair information sheet can make this easier. Keep the manufacturer’s instructions available and consider carrying both digital and printed copies. Why Would a Lithium Battery Be Removed?

Whether a lithium battery remains installed or is removed depends on the design of the mobility aid and the applicable transport requirements. IATA guidance distinguishes between lithium batteries that remain installed and batteries removed for transportation.

Do not remove a wheelchair battery simply because you have seen the WCLX code mentioned online. Follow the manufacturer’s instructions and the arrangements confirmed by your airline.

Where Does a Removed Lithium Battery Travel?

Removed lithium mobility-aid batteries are subject to specific aviation safety requirements. Depending on the battery and applicable rules, the airline may require the removed battery to be protected against damage and short circuit and transported in the passenger cabin.

Do not place a removed wheelchair lithium battery into checked baggage unless your airline has specifically confirmed that this is permitted under the applicable rules. Ask the airline exactly how your battery will be handled before travelling.

What Is the Watt-Hour Rating?

The watt-hour rating, usually shown as Wh, describes the battery’s energy capacity. Airlines may ask for this because lithium battery transport requirements can depend on battery capacity and configuration.

Look for the Wh figure on the battery label or in the manufacturer’s documentation. If you cannot find it, ask the manufacturer or supplier rather than guessing.

How Should a Removed Lithium Battery Be Protected?

Lithium batteries removed from mobility aids need protection against short circuit and physical damage. The airline may give you specific packing instructions based on the battery and its design.

Follow the manufacturer’s removal instructions carefully. Never improvise by dismantling battery housings or altering electrical connections that are not designed for passenger removal.

Can You Take a Spare Lithium Wheelchair Battery?

Additional lithium batteries for mobility aids are subject to aviation dangerous-goods requirements, including limits that can depend on battery capacity. If you need to travel with a spare, tell the airline in advance and provide the battery specifications it requests.

Do not assume the rules for an ordinary power bank or laptop battery apply to a wheelchair battery. Mobility-aid batteries have specific provisions.

Prepare a Wheelchair Handling Information Sheet

A handling sheet can help ground staff understand your wheelchair quickly. Include the make and model, dimensions, weight, battery details and clear instructions for safely moving the chair.

For a WCLX mobility aid, clearly explain how the battery is removed and reinstalled according to the manufacturer’s instructions. Also explain how to place the wheelchair into freewheel or manual mode and identify safe lifting points.

Protecting Your Wheelchair Before the Flight

• Photograph the wheelchair before handing it over.

• Label safe lifting points if they are not obvious.

Keep hold of any documentation you recieved in relation to your wheelchair – including any baggage tags that were placed on it or onto its carry-case. These are important when it comes to making a claim.

What Happens on Connecting Flights?

Connections can make wheelchair transport more complicated, particularly when different airlines are involved. Confirm that your mobility aid and battery details are recorded for every sector of the journey.

Ask whether the wheelchair will be transferred directly, whether you will regain access to it during the connection and whether any additional battery checks or handling arrangements apply at the transfer airport.

What if the WCLX Airline Code Is Missing From Your Booking?

Passenger-facing apps and booking confirmations do not always show every code recorded internally. If you cannot see the WCLX code and believe it should be added to your booking, contact the airline and ask it to confirm the mobility aid and battery information it has recorded.

If the WCLX code appears but your lithium battery will remain installed, or the battery information is otherwise incorrect, contact the airline and provide the correct manufacturer information. Accurate battery details matter because the handling requirements differ.

WCBD means the wheelchair has a dry, non-spillable or other specific battery. The WCBD code is used for a wheelchair or mobility aid powered by a non-spillable battery, nickel-metal hydride battery or dry battery.

WCLB means the wheelchair has a lithium battery. The WCLB airline code is specifically for an installed lithium battery. The correct code matters because the preparation and battery-safety rules are not identical.

WCLB vs WCBW

WCBW stands for a wheelchair with a spillable or wet battery. The WCBW code identifies a wheelchair or mobility aid powered by a wet-cell, spillable battery. A wheelchair that uses wet-cell batteries can leak corrosive electrolyte if they are not kept upright.

WCLB identifies a lithium-powered mobility aid. The WCLB airline code means the lithium batteries aren’t spillable like WCBW batteries but have different safety concerns and transport requirements.

WCLB vs WCMP

WCMP means that the wheelchair is manually powered. The WCMP code is used for a manually powered wheelchair or mobility aid.

WCLB stands for a wheelchair with a lithium battery. The WCLB airline code is used for a mobility aid with an installed lithium battery.

If you use a manual wheelchair with a removable powered add-on or power-assist device, tell the airline about both parts. The airline may need separate information about the chair and lithium-powered equipment.

IATA guidance states that WCLB mobility aids require advance notification and preparation. Airlines may ask for the wheelchair’s weight and dimensions as well as detailed battery information. It can be helpful to prepare a factsheet with information about your wheelchair if you intend to travel so you have a quick reference guide for any questions which may come up. I recommend storing these in a Google drive so you have access to them wherever you are.

Contact the airline as early as possible rather than waiting until check-in. This gives its dangerous-goods or special assistance teams time to review the mobility aid and confirm what is required.

What Information Will the Airline Need?

Airlines commonly ask for information that allows staff to identify and safely handle the wheelchair and battery.

• The wheelchair or mobility aid make and model.
• Length, width and height.
• Total weight.
• Battery type.
• Battery voltage and capacity.
• The watt-hour rating where relevant.
• Whether the battery is removable.
• How the electrical circuits are isolated.
• How the wheelchair is placed into safe or freewheel mode.
• Where safe lifting and tie-down points are located.

Providing the manufacturer’s manual or an air-travel information sheet can make this process easier.

What Is a Wheelchair Air Travel Information Card?

An air travel information card or factsheet gives baggage and loading staff practical information about your mobility aid. It can include the wheelchair’s dimensions, weight, battery details, isolation method and instructions for moving or lifting it.

IATA encourages clear information-sharing because powered mobility aids vary significantly. Staff cannot safely assume that two electric wheelchairs operate in the same way.

Keep a copy with the mobility aid and another copy with your travel documents where possible.

Does the Lithium Battery Stay in the Wheelchair?

It can, provided the mobility aid and battery meet the conditions for safe transport with the battery installed.

IATA’s 2026 guidance states that battery-powered mobility aids must be prepared to prevent unintentional activation and the battery terminals must be protected from short circuit.

The battery can remain securely attached when the electrical circuits can be isolated according to the manufacturer’s instructions and the battery is adequately protected against damage. If the design does not provide adequate battery protection, the battery may need to be removed according to the manufacturer’s instructions.

What Happens if the Battery Must Be Removed?

If a lithium battery must be removed from the mobility aid for transportation, the handling arrangements change. This is where the WCLX code may be more relevant than the WCLB airline code.

Removed lithium batteries are subject to specific packing, terminal-protection and cabin-transport requirements. Do not remove a battery at the airport unless you understand the manufacturer’s instructions and the airline has confirmed what it expects.

What Is the Watt-Hour Rating?

Airlines may ask for the battery’s watt-hour rating, usually written as Wh. This is a measure of the battery’s energy capacity and is important in lithium-battery transport rules. The watt-hour rating may be printed directly on the battery label. If it is not obvious, check the manufacturer’s documentation rather than guessing.

Some airlines may also request a battery data sheet or other manufacturer documentation as part of their approval process.

Can You Bring Spare Lithium Wheelchair Batteries?

Spare and removed lithium batteries are subject to stricter limits and handling rules than an installed battery. The exact arrangement depends on the battery configuration and its watt-hour rating.

Do not assume that a spare battery can simply be placed in checked baggage. Contact the airline before travel and follow the current dangerous-goods requirements for mobility-aid batteries.

How Should the Wheelchair Be Prepared for the Flight?

The key requirement is preventing accidental operation and battery short circuits during transport.

The airline may need to know how to:

• Switch the mobility aid off safely.
• Isolate the electrical circuits.
• Protect controls from accidental activation.
• Put the chair into freewheel or manual mode.
• Secure or remove detachable components.
• Protect the battery from damage.
• Safely lift and move the wheelchair.

Follow your manufacturer’s instructions. Incorrectly disconnecting or handling a powered wheelchair can damage the equipment.

Can Airline Staff Disconnect the Battery?

Procedures vary, so discuss this with the airline before travel. Staff need clear manufacturer instructions for safely isolating or removing a battery. If your wheelchair has a particular isolation plug, removable key or sequence for switching it into transport mode, make sure these instructions are easy to find.

Consider attaching a clear laminated instruction sheet to the chair as well as giving the airline information in advance.

What if the Airline Asks for a Battery Safety Data Sheet?

Some airlines ask passengers for manufacturer documentation such as a battery specification sheet, safety data sheet or declaration confirming the battery type and capacity.

Check the wheelchair manufacturer’s website or contact the supplier well before travel. Keeping these documents saved on your phone and in cloud storage can be useful, but also consider carrying a printed copy in case airport connectivity is poor.

WCLB Does Not Describe Your Airport Assistance Level

This is an important distinction. The WCLB airline code tells the airline about the mobility aid and its battery. It does not tell staff whether you can walk, climb aircraft stairs or reach your seat. You may also need a separate wheelchair assistance code such as WCHR, WCHS or WCHC depending on your mobility.

What Happens at Check-In?

Arrive with enough time for the airline or ground handler to inspect the mobility aid and confirm the preparation arrangements. Even when the WCLB airline code is already recorded, staff may still need to confirm the battery type, dimensions, weight and isolation method before accepting the wheelchair.

Keep your battery documentation and handling instructions accessible rather than packed in checked luggage. Again, this is when a dedicated Google drive can be really handy for storing documentation you might need access to wherever you are.

Can You Use Your Wheelchair to the Aircraft Door?

Many wheelchair users prefer to remain in their own chair for as long as possible. Whether this is possible depends on the airport, aircraft, route and operational procedures.

Ask the airline where your wheelchair will be taken from you and where it will be returned after landing. Do not assume that aircraft-door delivery is guaranteed at every airport.

What Happens on Connecting Flights?

IATA guidance notes that a WCLB wheelchair and battery may need to be claimed and rechecked at interline transfer points where agreed between airlines.

This makes advance planning particularly important on itineraries involving more than one carrier. Ask how your wheelchair will be handled at each connection and whether you will regain access to it between flights.

What if the Airline Changes Your Aircraft?

An aircraft change can affect cargo-door dimensions and available hold space. A wheelchair accepted on one aircraft type may be more difficult to load onto a smaller replacement aircraft.

If you receive notification of an aircraft or itinerary change, reconfirm the wheelchair details and WCLB airline code arrangements with the airline.

How to Reduce the Risk of Wheelchair Damage

Air travel can expose mobility aids to unfamiliar handling, so clear preparation matters.

• Photograph the wheelchair before handing it over.
• Remove loose cushions or accessories where appropriate.
• Secure or remove detachable controls according to manufacturer guidance.
• Attach clear handling instructions.
• Label safe lifting points.
• Explain how to disengage and re-engage the motors.
• Keep the chair’s make, model and serial number available.

If anything is damaged, report it to the airline or baggage services as soon as possible and keep photographs and paperwork.

A disability pushchair can be essential mobility equipment for a child or young person who cannot safely manage the walking, standing, crowds or distances involved in travel. Although it may look similar to an ordinary buggy, families often rely on it in the same way another disabled traveller relies on a wheelchair.

Travelling with a disability pushchair can require more preparation than travelling with a standard stroller. Airline staff, airport security teams, transport operators and attraction staff may not immediately recognise specialist equipment or understand why an older child needs to use it.

This guide covers the practical parts of travelling with a disability pushchair, including airports, flights, public transport, gate checking, equipment protection and communicating your child’s needs. What Is a Disability Pushchair?

A disability pushchair is specialist mobility equipment designed for a disabled child or young person. You may also see terms such as special-needs buggy, adaptive stroller, medical stroller or rehabilitation pushchair.

Different models support different needs. Some provide additional postural support, harnesses, head supports or foot positioning. Others are chosen because they can safely carry a larger child who cannot walk typical travel distances.

For some autistic children, a disability pushchair can also provide a familiar and contained space in busy environments. A child may be physically able to walk but unable to safely or reliably manage long distances, crowds, sensory overload, fatigue or unpredictable surroundings. Is a Disability Pushchair a Mobility Aid?

A specialist pushchair used because of a disability should be explained to travel providers as mobility equipment rather than simply described as a child’s buggy. This distinction can be important when arranging airline assistance or asking how the equipment will be carried.

Rules vary between airlines, airports and transport systems, so do not assume that every organisation will automatically classify a particular pushchair in the same way. Contact the provider before travel and explain that the equipment is required because of a disability.

Ask the airline or transport operator to confirm in writing how it will be treated, particularly if normal pushchair size or weight limits would otherwise cause a problem.

It is important to make it clear that this is a disability pushchair as opposed to a standard pushchair when your child is over five years of age. My experience so far with airlines is that they will transport a standard pushchair until your child is aged 5, after that it would be considered an extra piece of luggage and could incur a cost.

Tell the Airline Before You Fly

Contact your airline’s special assistance team before flying. Do not rely solely on adding an ordinary stroller to the booking if your child’s pushchair is disability-related equipment.

Give the airline the make and model, dimensions, weight and folded dimensions of the pushchair. Explain whether it folds easily, whether parts need to be removed and whether the child needs to remain in it until the aircraft door.

Ask the airline to record that it is a disability mobility aid. Keep a copy of emails, chat transcripts or booking notes so you can show staff at the airport if necessary.

Request Airport Special Assistance Separately

Travelling with a disability pushchair does not necessarily mean that airport assistance will automatically be arranged. If your child needs help through the terminal, with queues, boarding or another part of the journey, request that assistance through the airline or the process used at your departure airport.

Explain what your child can and cannot do. For example, tell staff if your child cannot safely walk through the airport, cannot manage stairs, cannot stand for extended periods or needs additional time during transitions.

Ask to Use the Pushchair to the Aircraft Door

If your child needs the pushchair throughout the airport, tell the airline that you need to use it to the aircraft door rather than checking it with your suitcase at the main baggage desk.

This is often called gate checking or delivery at aircraft, although terminology and procedures vary. Whether equipment can be returned at the aircraft door on arrival can depend on the airport, aircraft stand, local handling procedures and the equipment itself.

Ask two separate questions: whether you can keep the disability pushchair until boarding, and where it will be returned after landing. Do not assume that aircraft-door collection automatically means aircraft-door return.

What Happens at Airport Check-In?

Arrive with enough time to explain the equipment without feeling rushed. At check-in, remind staff that the pushchair is disability-related mobility equipment and confirm the arrangements already agreed with special assistance.

The pushchair may need a baggage or mobility-aid tag even if your child continues using it through the terminal. Check that the tag is attached securely without interfering with moving parts.

Confirm where you should hand it over and where you are expected to collect it. If your child cannot walk when the pushchair is removed, make this clear before reaching the gate so alternative assistance can be arranged.

Going Through Airport Security

Security procedures vary between airports. Staff may need to inspect the disability pushchair, and your child may need to transfer out of it if they can do so safely.

Tell security staff before screening if your child cannot stand, cannot walk independently or would find a transfer particularly difficult. Explain communication, touch or sensory needs before staff begin a physical inspection.

Do not remove essential postural supports simply to make the equipment look more like a standard buggy unless security staff specifically require something to be detached and it can be done safely.

Boarding With a Disability Pushchair

Speak to gate staff before boarding begins. Confirm when they want the pushchair handed over and what assistance is available between the aircraft door and your child’s seat.

If your child can walk a short distance but cannot cope with a long queue, ask how boarding will be organised. If your child cannot walk to the seat, the airline needs to know this in advance so appropriate transfer assistance can be arranged.

Pre-boarding can be useful for some families because it provides extra time. For other autistic children, being seated on the aircraft for longer can be more difficult. Ask what options are available and choose the approach that best matches your child’s needs where possible.

Protecting a Disability Pushchair During a Flight

Mobility equipment can be vulnerable when it is loaded into an aircraft hold. Prepare the pushchair before handing it to ground staff.

• Take clear photographs of the pushchair from several angles before travel.
• Remove loose accessories, trays, bags, cup holders and other detachable items where practical.
• Fold the pushchair if required and make sure staff understand how the folding mechanism works.
• Secure straps so they cannot become caught during handling.
• Attach your name and contact information.
• Add simple handling instructions if the equipment has an unusual folding or locking system.
• Keep removable medical or positioning accessories with you where the airline permits.
• Use a bag if this is an option – we opted for a slightly padded bag and usually stuff any extra sweatshirts or jackets in besidhe the pushchair before we board.

A brightly coloured label stating that the pushchair is disability mobility equipment can also help distinguish it from an ordinary buggy, although a label does not replace formally notifying the airline.

Take Photographs Before Every Flight

Photograph the pushchair at the airport before handing it over. Include wheels, frame, handles, brakes, foot supports and any areas that would clearly show damage.

These photographs create a simple record of the equipment’s condition immediately before travel. They may be useful if you need to report damage after the flight.

What to Do if the Pushchair Is Damaged

Inspect the pushchair as soon as it is returned. Check more than its appearance. Test the brakes, wheels, folding mechanism, harness and any postural supports before placing your child back into it.

If you find damage, report it to the airline or its ground-handling representative before leaving the airport wherever possible. Ask for written confirmation or a reference number and take detailed photographs. Keep a hold of any luggage labels that were put onto the pushchair or it’s bag because these reference numbers are important for making a claim.

Do not use damaged equipment if doing so would be unsafe. Ask the airline what immediate support it can provide when essential mobility equipment is unusable.

What to Do if the Pushchair Does Not Arrive

A missing disability pushchair is not simply an inconvenience when a child relies on it for mobility or safety. Report the missing equipment immediately at the airport and explain that it is essential disability equipment.

Ask what temporary mobility assistance is available and how the equipment will be delivered once located. Keep baggage reports, reference numbers and receipts for necessary expenses, subject to the airline’s claims process.

Travelling With an Autistic Child Who Uses a Disability Pushchair

Some autistic children use specialist pushchairs because they cannot safely manage busy public environments, long distances or sensory overload. Their mobility needs may not be obvious to other travellers or staff.

You do not need to justify your child’s disability to strangers. With staff, focus on the practical information required to keep your child safe: whether they can walk, whether they may run, whether they can follow verbal instructions and what happens if their pushchair is removed.

If your child relies on the pushchair as a familiar safe space, prepare them for the point when it must be handed to airport staff. A visual sequence can show the pushchair going away at the aircraft door and returning after the flight.

Using a Disability Pushchair on Public Transport

Rules for disability pushchairs on buses, trains, metros and trams vary between countries and transport operators. A specialist pushchair may physically resemble an ordinary buggy even when it is being used as essential mobility equipment.

Before travelling, check whether the operator recognises disability pushchairs as mobility aids and whether any permit, identification tag or approved-model scheme applies. Ask whether the child can remain seated in the pushchair while travelling or must transfer to a vehicle seat.

Never assume that a pushchair can be safely used in a wheelchair space while a vehicle is moving. The equipment, restraints and vehicle anchoring arrangements must be suitable for that use.

Using Taxis and Private Transfers

Think about how your child will travel safely in a taxi or private transfer. A disability pushchair is not automatically suitable for use as a vehicle seat and the equipment used to secure a wheelchair will likely be unsuitable for holding a smaller disability pushchair in place.

If your child needs to remain in specialist seating during a vehicle journey, arrange an appropriate accessible vehicle and restraint system (car seat) in advance. If your child transfers to a standard vehicle seat, check that the folded pushchair will fit in the boot or luggage area. We tend to play it safe and try to book larger vehnicles like a 7 or 9 seat van which comes with a much larger boot (trunk) space for storing all of our luggage plus two disability pushchairs.

Give transfer companies the pushchair’s folded dimensions when booking. This is particularly important when travelling with several suitcases or other medical equipment.

Cruising With a Disability Pushchair

A disability pushchair can be useful on a cruise ship because distances between cabins, restaurants and entertainment venues can be considerable. However, cabin doors, tender boats and shore excursions can create access problems.

Check the pushchair’s width against the cruise line’s standard and accessible cabin and doorway information. Ask whether it can be stored safely in the cabin and do not assume that you can store it in the corridor, where mobility equipment can obstruct evacuation routes or access for other users of mobility equipment.

Tender ports need extra planning because passengers may need to transfer into a smaller boat. Cruise lines can restrict mobility equipment on tenders depending on conditions and transfer requirements. You have to figure out if you or your child are physically able to handle a tender, or if there are safety concerns about boarding a tender boat or even sitting in a tender boat to transport to land.

Visiting Attractions With a Disability Pushchair

Attractions may have separate rules for pushchairs and wheelchairs. When your child’s specialist pushchair functions as their mobility aid, contact the attraction if its website says buggies must be left outside or parked in a designated area.

Explain that the child requires the pushchair because of a disability and ask how mobility aids are handled. Do this before visiting high-demand attractions where staff may otherwise treat the equipment as a standard stroller.

Also ask about step-free routes, lifts, accessible toilets and any areas where mobility equipment cannot be taken for safety reasons. Many attractions have this information available on their website that you can check in advance too.

Carry Proof That the Pushchair Is Disability Equipment

There is no single worldwide document that every airline, airport or attraction requires to prove that a pushchair is a mobility aid. Requirements vary.

It can still be useful to carry information showing the make and model of the specialist pushchair and, where appropriate, documentation explaining that your child requires mobility support. Ask individual providers in advance whether they require specific evidence. One fairly easy document you can get hold of is a letter from a health professional involved with your child which explains what the pushchair is used for and why the child needs it. A simple luggage label stating “Disability Mobility Aid” can reduce confusion during handling, but it does not create legal status or replace any documentation required by the travel provider. You can check out the disability pushchair label I made for travelling with a disability pushchair.

Measure and Weigh the Pushchair Before Travel

Keep the pushchair’s measurements saved on your phone or create a disability pushchair factsheet that you can refer to whenever you need – I recommend making a Google drive to hold all of your important travel documents so you can refer to them any time you need to. Record the pushchairs unfolded size, folded size and weight. You can usually find these facts on the website of the manufacturer or any company that sells the pushchair.

These details are useful when speaking to airlines, transfer companies, cruise lines and accommodation providers. They also make it easier to establish whether the pushchair will fit into a hire vehicle, hotel lift or storage area.

Create a Pushchair Handling Card or Factsheet

A factsheet or handling card can help airport staff understand specialist equipment quickly. Keep the instructions short and practical.

• Name and model of the disability pushchair.
• Equipment weight.
• How to fold and unfold it.
• Which parts can be removed.
• Where the brakes are located.
• Parts that must not be used for lifting.
• Your name and mobile telephone number.

Add photographs or simple arrows if the mechanism is difficult to explain in words. Consider carrying a second copy in case the first label becomes detached.

Pack for the Possibility of a Delay

When a child depends heavily on a disability pushchair, think through what would happen if it were temporarily delayed or damaged. You may not be able to carry a larger child for long distances.

Keep essential medication, communication equipment and detachable postural items with you where permitted. Save the manufacturer’s details, model number and any repair contacts you may need while away.

FAQ About Travelling With a Disability Pushchair

The most useful preparation is to make the function of the pushchair clear before you travel. Record its dimensions, contact the airline or transport provider, request any additional assistance separately and carry written confirmation. Treating a disability pushchair as essential mobility equipment throughout your planning helps reduce the risk of it being mistaken for an ordinary buggy when your child depends on it.

If busy souvenir shops are difficult for your child, one adult could look inside while the other waits in a quieter place. Taking a photo of the available designs may also let a child choose without needing to remain in a crowded shop.

We managed to buy a whole range of flag travel patches at a little street market on Khao San Road in Bangkok. We also found an entire shop dedicateed to patches in Chinatown in Bangkok but they were mostly not city or country specific patches.
